INO Summit - Terms and Conditions

Introduction

INO Summit is the name of the annual general meeting, conference and event organized by INO Uluslararasi Nakliye Organizasyon Ltd. Sti. (to be referred to as "the organizer") for the participation of the representatives from the member companies of Freight Forwarders Family Worldwide Agents Network, Overseas Project Cargo Association and Freight Midpoint International Forwarders Network.

Each attendee or group of attendees who registered for the INO Summit are subjected to the terms and conditions stated in this document. The term attendee/s includes but not limited to any person, delegate, spouse, media, speaker, institution and/or industry representative.

Name Badges

Attendees are required to wear the name badge at all times during the INO Summit. Entry to sessions and social functions may be denied to those not wearing the name badge. Badge sharing is not permitted at any INO Summit. Everyone attending the event must be registered properly. Anyone caught badge sharing will either pay the registration fee or be asked to leave.

Fees, Registration and Cancellation

Attendees agree to provide accurate, complete and updated information through the online registration form. The organizer reserves the right to suspend or terminate the participant's registration should any incorrect, untrue or incomplete information be found.

All attendees must pay the posted registration fees in order to register and attend the event. The fees must be paid in full prior to the deadline date. Payments will not be accepted on-site. The early bird rates are in effect during the timeframe specified and after this date, the regular rates will apply. Attendees who register during the early bird time period must pay early bird fees on or before the early bird deadline, otherwise the regular rates will apply.

Registration fees can be paid by bank transfer or credit card. Attendees are not considered registered until full payment is received. No one is eligible to attend unless the registration fee has been paid for the event. The organizer will not allow individuals or companies that are not registered for the event to mingle around and network "for free". Anyone who is observed to be soliciting business in public spaces who is not registered will be asked to leave immediately or to pay the proper registration fee.

A letter of confirmation will be forwarded upon completion of the payment. Attendees are required to present the confirmation letter upon arrival to collect the necessary name badge and event materials at the on site registration counter.

If an attendee is unable to participate the INO Summit, he or she may substitute a colleague to take his or her place at no extra charge. Fees are non-refundable and non-transferable if sending a replacement isn't possible.

Delegate fees include full access to welcome cocktail, one to one meetings, gala dinner, morning and afternoon coffee breaks and lunches. Spouse fee includes full access to welcome cocktail and gala dinner only.

A one-day conference rate is not available. There are no one-day only passes or passes that can be shared amongst multiple attendees. Absence of an attendee in any of the above functions is not a matter of refund or discount. Fees are non-refundable. Fees offered as package price for 3 days event and it is at members' discretion to attend the functions in the package.

Hotel Accommodation and Fees

Fees exclude hotel accommodation, flight tickets, visa, medical and/or travel insurance.

In order to access the special rate based on two delegates, both delegates must be from the same company.

All attendees agree to adhere to the "Terms and Conditions" of the INO Summit when registering online to attend. If a registration is processed online by someone other than the attendee, this person is responsible for ensuring that the attendee is aware of the event rules and regulations and has received all news and schedule information related to the event. It is the responsibility of each attendee to inform the organizer of any change in the registration status of themselves or their delegates.

If an attendee needs to make a change to his or her registration, changes will be processed on a complimentary basis up to 30 days prior to the INO Summit, however the organizer does not guarantee that the meeting documents/materials will show the revised information.

Accommodation

Delegates can make all accommodation booking directly with the hotel via the INO Summit Booking Form. Attendees must complete their registrations and make payment in full before requesting the form from the organizer. Special rates are negotiated with the event hotel. A limited number of rooms blocked in the event hotel each year and are allocated to attendees by the hotel on a first come, first served basis according to a certain deadline date. When the rooms run-out at the event hotel, it is the sole responsibility of the attendees to take care of their accommodation at another place.

Visa Requirements

Attendees are advised to check his/her visa requirements before registering for the INO Summit and making travel arrangements. The organizer would like to remind that it is the sole responsibility of the attendee to take care of his/her visa requirements. Attendees are advised to allow sufficient time for application procedure if an entry visa is required. In the event when the registration fee has been paid but the entry visa could not be granted/not applied in time, it is not a matter of refund.

Letter of Invitation

Should attendees require a Letter of Invitation for visa application, organizer can only assist to connect them to the local members whose offices are located at the country where the INO Summit is organized. Attendees must complete their registration and make payment in full before requesting assistance for visa invitation letter. The organizer will not provide any financial guarantee to the attendees and all expenses incurred are the sole responsibility of the attendees.

Modification in INO Summit

The organiser reserves the right to modify without prior notice, the programme, schedule, content and any statement in the promotional materials including but not limited to brochures, website, flyers and email notification concerning, but not limited to, rules, terms and conditions, policies, fees, speakers and conference session. The organizer reserves the right of final decision in case of any dispute.

Cancellation of INO Summit

The organiser takes all reasonable steps to ensure a successful INO Summit every year. In the event that the INO Summit is disrupted, cancelled and/or postponed due to force majeure or interventions/actions from 3rd party, every effort will be made to resume normal as soon as possible. The organiser cannot be held liable by any party for any damages, costs or losses of any nature include. The organiser reserves the right to retain the entire registration fee for future INO Summit events, or future membership renewal.

Granting of Rights for Photography, Film and Audio Material

The organiser reserves the right to store and use photographs and videos taken during the INO Summit for promotional purposes.

Insurance

The attendees shall take part in INO Summit at his/her own risk and should take action to ensure that they have appropriate insurance cover. It is strongly recommended that attendees take out their own medical and/or travel insurance as applicable prior to attending.

The organiser shall not be liable for any claims by the attendees or third-party claims or loses of any nature, including but not limited to, loss of profits, punitive, or direct, special, incidental, or consequential damages or for other damages and any related claims of any nature, including direct, indirect, third-party, consequential or other damages resulting from or in connection with the INO Summit.

Activities

The organizer can arrange some activities such as welcome cocktail, gala dinner, football tournament, paintball tournament, karting race/go-kart, city tour, atv adventure…etc. time to time during the INO Summit. Some of these activities may require high performance, may be dangerous and may not be suitable for unexperienced participants. Participation is at the attendees' own risk. The organizer is not liable for any damages in the event of accident, damage, loss, injury, death or any circumstances, by whatever name, suffered by an attendee as a result of the participation in the event.

The organizer is not responsible for any health problems arising from environmental factors during the entire event and attendee's accommodation.

Responsibility

The organizer will use all due care for the provision of its services and activities provided to attendees. Attendees participate in activities and use services at the INO Summit at their own risk. No liability or responsibility is accepted by the organizer for any injury, illness, damage, loss, accident, expense, or any other claim arising from involvement in any activities or provision of any services howsoever suffered, even in circumstances where the staff of the organizer may have negligently breached any duty of care that it or they may owe or have owed in connection with such activities, conduct, supervision, or the provision of services. The organizer will no longer be liable for direct or indirect losses, arising from any such injury, illness, damage, loss, death, accident, or expense including consequential loss or economic loss however caused.

Fulfillment and Jurisdiction

These Terms and Conditions shall be subject to the law of Turkey. In the event of any legal claims arising from either party, Turkey shall be the sole court of jurisdiction.
